Diversity by Doing — Annual Showcase Outreach

Target: Diversity by Doing — reactivation of a past GCV client (coalition: AdvaMed / Stanford BioDesign / Pulmonx / Cala Health)

Primary contact: TBD — Brandyn: identify the ED or comms director name before sending. Look for the program lead or director at diversitybydoing.org, AdvaMed's DEI programs page, or your prior project contact chain.

Channel: Email

Ask: Annual showcase video package

Built: 2026-05-27 · grounded in the real GCV–DbD production work (five segment reels + networking event coverage)

READ FIRST — the real relationship

GCV produced real deliverables for Diversity by Doing. From the case study (/opt/subrosa/exports/portfolio/case-studies/diversity-by-doing.html):

The case study is live at /blog/case-studies/diversity-by-doing/ on ghostcoast.video.

The pitch is a natural continuation: GCV built the foundation — five reels, one visual language, event coverage. An annual showcase is the next logical production: pulls the year's work together, keeps existing partners bought in, attracts new ones.

Flags — decide before sending:

1. Contact name is unknown. Don't send to "Dear Colleague." Find the actual person who managed this engagement (your prior email thread, the program director at diversitybydoing.org, or the AdvaMed contact who initiated the project). The opener only works if it's addressed to someone who was in the room.

2. Confirm prior contact name vs. who signs off now. If the person you worked with before has moved on, find the current ED or comms director and adjust the opener to "I worked with your team on..."

3. Annual showcase timing. The close asks about year-end communications planning. If you're pitching this in late May, it's actually good timing — most coalitions start thinking about year-end recap pieces in Q3. You have room to have the conversation before it gets urgent.

4. No fabricated results. The email references what GCV built but doesn't claim specific impact numbers — because we don't have them. If you remember a specific outcome (enrollment numbers, reach stats, something a partner said), slot it into Email #2.

#1 — Reactivation (the year-of-program angle)

Subject: annual showcase — picking up from the reels we made

[Contact name] —

We made five reels for the coalition — AdvaMed, Stanford BioDesign, Pulmonx, Cala Health, and the student cut. You've had another full program year since then.

An annual showcase piece does something the reels don't: it shows what the whole initiative has built, not just each partner's slice of it. Who came through the pipeline, what the networking produced, what changed. That's the piece that keeps existing partners bought in and makes new ones want to join.

What I'd build: a two-to-three minute hero piece the coalition leads with, plus cut-downs each partner can use independently. One shoot, one production pass, five places it lives.

When does your calendar hit the point where you're thinking about year-end communications? Happy to talk through what a package looks like before it gets busy.

#2 — Partner credibility angle (if #1 gets no response)

Subject: re: annual showcase and the coalition's year

[Contact] —

Following up on the showcase note. One thing worth saying: when we built the five reels last time, the hardest part wasn't the production — it was getting five brand teams to agree on one visual treatment. We solved that once. The annual showcase wouldn't have that friction.

If there's a specific moment from this year's program you're already thinking needs to be documented — an event, a cohort milestone, something a student said — that's usually the right place to start, not with the full package. Tell me what it is and I'll tell you what it costs to film it.

#3 — Follow-up if #1 goes quiet (5–7 days)

Subject: re: annual showcase

[Contact] — floating this back up. If the timing is off or the ask isn't the right size, easy to start with one piece instead of the full package. What's on the calendar for the coalition this summer? — Brandyn
